Welcome, and thank you for your interest in Wildflower Healing Circle. These Terms of Service are a legally binding contract between you and WHC regarding your use of the Service.

Please read these Terms of Service (“Terms”) carefully before using Wildflower Healing Circle (“WHC,” “we,” “our,” or “us”).
By scheduling an appointment, purchasing a session, or otherwise engaging with our website or services, you agree to be bound by these Terms and our Privacy Policy. If you do not agree, you may not access or use our services.

1. Overview

Wildflower Healing Circle provides trauma-informed, neurodivergent-affirming, and holistic coaching and support services (“Services”) to individuals seeking personal growth, emotional regulation, self-understanding, and overall well-being.
All services are coaching and wellness-based and do not constitute medical, psychiatric, or psychotherapeutic treatment.

2. Eligibility

You must be at least 18 years old to use our Services without parental consent. By booking or using our Services, you confirm that you:

Are at least 18 years of age;

Understand that WHC does not provide medical or clinical mental health services;

Are participating voluntarily; and

Will not use the Services in violation of any applicable laws or regulations.

Or

Are under 18 years of age with parental consent;

Understand that WHC does not provide medical or clinical mental health services;

Are participating voluntarily; and

Will not use the Services in violation of any applicable laws or regulations.

3. Nature of Services

All sessions, resources, and materials provided by WHC are for personal education, wellness, and coaching purposes only.
WHC does not diagnose or treat mental health conditions, prescribe medication, or offer crisis intervention. If you are in crisis, please contact your local emergency services.

4. Appointments and Cancellations

Appointments can be scheduled through our website’s booking system. By booking, you agree to the pricing and duration displayed at the time of scheduling.

Cancellations/No-Shows: Here at WHC we understand things happen. You may cancel or reschedule your appointment without penalty, as long as there is communication. Without communication despite attempts to contact, you may be charged the full price of the session. 

Refunds: Refunds are not available for completed sessions.

5. Payments

To honor the unpredictability of life and make space for accessibility needs, payment is collected after each session rather than at booking. This allows room for cancellations or no-shows without financial pressure. You’ll receive a payment link once our session concludes, and payment is expected the same day unless a different arrangement has been made.
We accept multiple forms of secure online payment methods. By submitting payment, you authorize WHC and its payment processors to charge the amount specified for your chosen service.

6. Confidentiality and Privacy

Your privacy and confidentiality are deeply respected. Information shared in sessions is kept private except in the following cases:

You provide written consent to share information;

Disclosure is required by law (e.g., risk of harm to self or others, abuse, or court order); or

To support accessible, accurate, and high-quality care, Wildflower Healing Circle also uses Doxy Scribe, an AI transcription tool that securely processes audio during sessions to create written transcripts and session notes. By scheduling or attending a session, you acknowledge and agree that Scribe may listen to and transcribe the session, and that automatically generated summaries or notes may be used for documentation. All transcription data is processed within Doxy.me’s HIPAA-compliant environment, and no audio or transcripts are stored on personal devices. You may request that Scribe not be used at any time, and withdrawing this consent will not affect your ability to receive services.

Technology limitations inherent in online communication result in minimal risk of accidental disclosure.

7. Intellectual Property

All materials, writings, images, recordings, and other resources provided through WHC are owned by Wildflower Healing Circle unless otherwise stated.
You may not reproduce, distribute, or modify any materials without written consent. Personal use for reflection or journaling is permitted.

8. Conduct and Boundaries

You agree to engage respectfully and honestly with WHC and its practitioners. Harassment, discrimination, or inappropriate communication will not be tolerated and may result in immediate termination of services.
WHC reserves the right to decline or discontinue services if we believe it is in the best interest of the client or the practitioner.

9. Disclaimer of Warranties

All Services are provided “as is” for educational and wellness purposes. WHC makes no guarantees about outcomes or results.
You acknowledge that coaching and wellness services are collaborative processes that require personal responsibility, participation, and reflection.

10. Limitation of Liability

To the fullest extent permitted by law, Wildflower Healing Circle and its team shall not be liable for any damages arising from participation in Services or use of materials provided.
You agree to hold WHC harmless from any claims, losses, or damages arising from your engagement with our Services.

11. Modifications to Terms

We may update these Terms from time to time. The revised version will be posted on our website with a new effective date. Continued use of our Services indicates acceptance of the updated Terms.

12. Governing Law

These Terms are governed by the laws of the State of Oklahoma. Any disputes will be handled within the appropriate courts of Oklahoma, unless otherwise required by law.
